Whether it’s a personal emergency, logistical issues, or external factors beyond your control, our Cancellation and Refund Policy is designed to be fair, transparent, and in line with industry standards while covering operational costs, permits, and third-party services.

This policy applies to all trekking expeditions, wildlife safaris, and customized tours booked with Arrow Trekking and Safaris.

Cancellation Policy

 

Cancellation by the Traveler

If you need to cancel your safari or trekking tour, the following cancellation charges will apply based on the time of cancellation before departure:

More than 60 days before departure → Full refund, minus administrative fees.

30 to 59 days before departure → 75% refund of the total booking cost.

15 to 29 days before departure → 50% refund of the total booking cost.

7 to 14 days before departure → 25% refund of the total booking cost.

Less than 7 days before departure → No refund.

Important Considerations for Cancellations

  • Non-refundable components: Some costs such as national park permits, trekking fees, conservation levies, and government taxes are 100% non-refundable once booked, as they are paid directly to government authorities and third-party service providers.
  • Accommodation cancellation policies: Many luxury lodges and camps require full or partial non-refundable deposits upon booking. Refunds will depend on the individual accommodation provider’s terms.
  • Cancellation during the trip: If a traveler cuts their safari or trek short for personal reasons, no refund will be issued for unused services.
  • Rescheduling instead of canceling: If you are unable to travel, we encourage rescheduling instead of canceling. Your booking can be transferred to another date (subject to availability). Any price difference due to seasonal rate changes must be covered by the traveler.
  • Last-minute cancellations: If cancellations are made less than 24 hours before departure, or if the traveler is a no-show, no refund will be issued.

Cancellation by Arrow Trekking and Safaris

At Arrow Trekking and Safaris, we are committed to ensuring that all trips run smoothly and as scheduled. However, in rare and unavoidable circumstances, we may be required to cancel a trek or safari due to reasons beyond our control. Our priority is always the safety, well-being, and satisfaction of our travelers, and we will handle such cancellations with fairness and transparency.

Situations Where We May Cancel a Trip

Although we strive to conduct every trip as planned, cancellations may occur due to:

Extreme Weather Conditions – Severe storms, floods, or other natural disasters that make trekking or game drives unsafe.

Political Instability & Security Threats – Civil unrest, government travel bans, or any security issues that could put travelers at risk.

Unforeseen Natural Disasters – Earthquakes, volcanic eruptions, pandemics, or any event classified as force majeure.

Minimum Group Size Requirements – If a scheduled group tour does not meet the minimum number of participants, we may cancel or reschedule the trip.

Government Restrictions & Regulations – If authorities impose travel restrictions, close national parks, or revoke necessary permits, we may have to cancel trips.

Operational Challenges – Unexpected logistical issues such as supplier failures, airline disruptions, or loss of access to key locations.

 

Options Available to Travelers in Case of Cancellation

If Arrow Trekking and Safaris cancels your trip for any of the above reasons, we will offer the following options:

Full Refund (Minus Non-Recoverable Costs)

If the cancellation is due to operational challenges or unforeseen disruptions that are not force majeure, we will issue a full refund minus any non-recoverable third-party expenses such as:

  • National park entry fees and trekking permits.
  • Prepaid accommodation deposits that are non-refundable.
  • Government levies and conservation fees.

Free Rescheduling

We provide the option to reschedule your safari or trek to a later date at no additional cost, subject to availability. If the new travel date falls within a higher pricing season, travelers will be responsible for covering any cost differences.

Credit Towards Future Travel

In cases where cancellation occurs due to force majeure (e.g., natural disasters, pandemics, government lockdowns, or serious security threats), we will issue a travel credit instead of a cash refund. This credit can be used for a future booking with flexibility on dates and destinations.

 Communication & Transparency

  • If a trip must be canceled, we will notify affected travelers as soon as possible and provide detailed explanations.
  • Our team will offer personalized support to help reschedule, rebook, or choose the best alternative solution.
  • In the case of cancellations due to force majeure, we will work with our partners to minimize losses and maximize flexibility for travelers.

What If Only Part of the Trip Is Affected?

If only a portion of your itinerary is affected (e.g., a national park closure or a specific lodge cancellation), we will:

  • Offer an alternative destination or accommodation of equal or better value.
  • Adjust the itinerary while maintaining the overall experience.
  • Issue a partial refund or travel credit for the affected portion of the trip.

No Liability for Third-Party Cancellations

While we will always assist in rebooking services, Arrow Trekking and Safaris is not responsible for cancellations made by:

  • Airlines or flight service providers.
  • Independent hotels or lodges that operate under their own cancellation policies.
  • External activity providers such as balloon safari operators or diving centers.

While we strive to offer flexibility, refunds must align with the operational costs, third-party agreements, and industry best practices. Processing Refunds

Refund Timeline

Once a cancellation request has been approved, the refund process will be initiated. The standard refund processing period is 14 to 30 business days from the date of cancellation. This timeframe allows us to:

  • Verify the cancellation details.
  • Settle payments with service providers (lodges, national parks, airlines, etc.).
  • Process refunds through the original payment method.

We aim to process refunds as quickly as possible, but delays may occur due to bank processing times, international transactions, or third-party service provider policies.

Refund Method

Refunds will be issued to the original payment method used at the time of booking. This means:

  • If payment was made via credit/debit card, the refund will be credited back to the same card.
  • If payment was made through bank transfer, the refund will be sent to the same bank account.
  • For payments made via mobile money (e.g., M-Pesa), the refund will be processed through the same platform.
  • Cash payments (if applicable) will require an alternative refund arrangement.

We do not issue refunds to third-party accounts for security and fraud prevention reasons.

Deductions & Administrative Fees

While we strive to refund as much as possible, certain fees must be deducted before processing refunds. These include:

  • Bank Charges & Transaction Fees – Processing fees imposed by financial institutions.
  • Administrative Costs – Costs incurred in handling reservations, paperwork, and logistics.
  • Third-Party Service Fees – Non-refundable payments made to hotels, parks, airlines, or transportation providers.

To ensure transparency, Arrow Trekking and Safaris will provide travelers with a detailed breakdown of any deductions.

 

Partial Refunds & Non-Refundable Components

Certain components of a safari or trekking package are non-refundable, even if the cancellation occurs within an eligible refund period. These include:

National Park Entry Fees, Trekking Permits & Conservation Levies

  • National park authorities and conservation bodies require upfront payments for entry fees, permits, and conservation levies.
  • These fees are non-refundable once paid, as they are used to fund park operations, wildlife conservation, and environmental protection efforts.
  • This applies to Kilimanjaro trekking permits, Serengeti park fees, Ngorongoro crater entry fees, and other national parks and reserves.

Hotel & Lodge Deposits

  • Many lodges and tented camps have strict deposit policies to secure reservations.
  • Some high-end accommodations require non-refundable deposits, while others allow partial refunds depending on their policies.
  • If a lodge or hotel does not refund our prepayment, we will be unable to include that amount in the refund.

Flight Tickets & Internal Transfers

  • Flights (both domestic and international) are booked through third-party airlines, which have their own cancellation policies.
  • Many discounted or promotional airline tickets are non-refundable, while others allow changes for a fee.
  • If an internal flight (e.g., Arusha to Zanzibar) was booked as part of your itinerary, any refund will depend on the airline’s policy.

Safari Vehicle & Guide Reservation Fees

  • Safari vehicles, drivers, and guides are reserved in advance to ensure availability.
  • If a trip is canceled close to the departure date, our operational costs (e.g., vehicle maintenance, driver allowances) still apply.
  • Refund eligibility depends on the time of cancellation and whether the guide/vehicle can be reassigned.

Refund Adjustments for Partial Cancellations

If only part of your trip is canceled (e.g., reducing the number of travel days or participants), we will:

  • Adjust the refund accordingly based on the unused services.
  • Deduct any fixed costs already incurred (e.g., permits, transfers, and pre-booked accommodations).
  • Recalculate the per-person trip cost if a group size reduction affects pricing.

Special Considerations & Exceptions

We understand that unforeseen emergencies may require exceptions to our standard refund policy. In cases of:

  • Medical emergencies (with proof from a certified doctor).
  • Death in the immediate family (supporting documentation required).
  • Severe travel disruptions (e.g., sudden government-imposed travel bans).

We will assess refund requests on a case-by-case basis and explore options such as rescheduling or issuing travel credits.

Alternative to Refunds: Rescheduling & Travel Credits

Instead of canceling, travelers may opt to reschedule their trip for a later date. Benefits of rescheduling include:
Avoiding cancellation penalties.
Using full credit for future travel without additional charges (unless seasonal rates apply).
Greater flexibility in choosing a new date.

If rescheduling is not possible, we may issue a travel credit that can be used within 12 to 24 months for a future trip.

How to Request a Refund

To initiate a refund request:

  2. Include booking details, reason for cancellation, and any supporting documents (if applicable).
  3. Our team will review the request and provide a refund calculation.
